Billing and Usage: Plans, Quotas, Seats and Invoices

The Quartyl billing console: the plan record and its status, the study and report quotas, the seat budget, saved payment methods, checkout behaviour, and the invoice ledger.

The Billing and Usage page is the firm’s subscription cockpit: the plan and its status, the quotas the firm is consuming against, the seat budget, the payment methods on file, and the invoice ledger. Everything is one screen, refreshed from a single summary — reads are Partner and Firm Admin, changes are Firm Admin.

The plan

Quartyl bills per firm: a base plan amount plus a per-seat charge, on a monthly or annual cycle (an annual cycle prices at 0.9 × twelve months of the monthly rate). The seeded tier entitlements behind the price and quota maths are:

Two caveats on those numbers. They are USD list values seeded in code, not published prices — what a firm is actually billed is agreed per tenancy, and a platform superadmin configures each plan’s price, currency, study limit, seat budget and capability set in the Add Plans console. And a plan may be denominated in USD, INR, EUR, GBP, AED or SGD, but the checkout leg converts USD amounts to INR at a fixed reference rate; it is not a live FX feed.

The account’s status — Active, Past Due, Trial, Trial Expiring or Paused — rides on the page as a severity badge with the renewal date and the next billing amount (base plus the current seat count). The plan’s capability set — which of the twelve gated features the subscription unlocks — is the subject of Plan Features; pricing tiers and feature tiers move together but are configured separately.

Usage quotas: what the firm consumes against

Usage is computed live, not snapshotted — the two bars on the page count the firm’s studies against their limits at this moment. The active-studies bar carries the Add More Studies entry point, which (like Add More Seats) renders for Firm Admin:

The two bars partition the same set — archiving a study moves it out of the active count and into the reports count, so it is not a way to buy headroom on both. There is no separate AI-credit meter: nothing on this page counts inference calls or screened comparables.

Two things to keep straight:

  • Seats and studies are different budgets. A seat is a user account (the team budget); the study limit caps how many studies the firm holds, independent of how many people are in it.
  • Overage alerts are opt-in. With alerts enabled, the firm is notified at 50%, 90% and 100% of each quota — once per threshold per billing cycle — and plan-expiration reminders arrive at 14, 7 and 3 days before renewal (with a lapsed-plan notice after). Product updates (the newsletter) can be opted out of from the same screen.

Seats and studies

The seat allocation shows active seats against the budget (with a usage ring) and the Add More Seats entry point; Add More Studies sits on the studies bar above. Both dialogs pre-fill the plan’s minimum upgrade and open the same checkout order; the full flow, including what a firm sees while the gateway is off, is in Upgrading Seats and Managing Usage Quotas. The seat budget is also the guard on the team console: an invite that would exceed it is refused.

Payment methods and financials

Checkout is not enabled in the current deployment — the gateway ships disabled and its credentials are unset, so the order step answers 503: online payments are not enabled yet, please contact support to activate checkout. The dialogs surface that message and close; nothing is charged, and entitlement changes in the meantime are provisioned by the platform team. When checkout is enabled for a deployment, this is what the page drives:

  • Saved methods — the firm’s payment-method ledger: add a method (the first becomes default), set a default, remove one. The ledger records a card (brand + last four + expiry), ACH or wire; it is reference data the firm maintains, not a token vault. Razorpay-native methods (UPI, netbanking, EMI, virtual account) appear inside the checkout modal itself and are never persisted here.
  • Billing contact and tax — the name, email and tax details (GST identifier, country, state) that invoices carry.

Invoices

The invoice table is the latest 50 invoices, newest first, each with date, number, amount and a status badge (Paid, Pending, Failed). Paid invoices carry a PDF downloadable on demand through a five-minute link; a failed download means no PDF exists for that row yet. PDFs are generated locally for the ledger, with the GST-tax invoice (18% on the SAC 998314 line) sent through Zoho where the deployment enables it — falling back to a default place-of-supply state when the firm has no GST state on file. Invoicing is best-effort and a reconciliation pass retries what a first pass missed, so a missing or delayed PDF is never evidence of a failed payment.

Cancel and pause

There is no self-serve cancellation: the Cancel/Pause action files a subscription change request that notifies the platform’s superadmins, and never touches the billing account, the firm’s data or its studies. Pause and resume are executed from the platform’s firm console.

FAQ

What counts against the reports quota? Archived studies — a study reaches that quota when it is archived, and the entitlement is the plan tier’s monthly report allowance.

What does Past Due mean for my studies? It is a billing state, not a service cutoff; the page’s status badge and the renewal date tell you the position, and the expiration reminders carry the recharge path.

Who sees this page? Partner and Firm Admin (read and manage respectively); the platform Superadmin sees a not-applicable view, because the platform account itself carries no subscription.
